What you will need to Bring?
- A quiet generator should you need power (Please note that there are only a few electric points which are not strictly available for traders but we may be able to secure these if you do not have your own power supply. Please let us know ASAP.
- Tables & chairs
- Your own water supply
- Gazebo or Small Food Van (If you do not have your own, Maidenhead Council do have some Gazebos and tables available for hire. You can add these when buying your pitch below)

- Be of a high quality
- Provide excellent service to shoppers
- Help create a ‘buzz’ on the High Street and attract people into the town centre
- Honesty – produce should be clearly labelled
- Exceptional standards of hygiene
- Have an attractive trading environment
Market Rules
- The rate for a standard 3m x 3m pitch is £30 per day, trailers are £40, 6m x 3m pitch is £50 per day, 10m x 3m is £60 per day
- Bad weather may not exempt any trader from payment subject to any decision made by the market manager.
- Non-payment or persistent late payment of invoices will result in traders being asked to leave the market.
- In case of emergencies the manager reserves the right to cancel or close the market. The market may be terminated at any time for whatever reason upon giving traders 14 days prior written notice.
- Traders shall occupy only the pitches allocated to them
- Traders must not block shop doorways and any empty crates or refuse must be stored within the pitch area. Any trader that uses cooking oil or similar must ensure that the High Street paving is protected from staining – if traders do not adhere to this they may be charged for cleaning.
- All refuse must be disposed of by the trader. The pitch area should be kept clean and free from litter at all times
- Stalls must be smart in appearance and not go beyond the allocated pitch
- Vehicles may be brought onto the High Street to load and unload and must not cause a nuisance or obstruction during this time.
- The High Street is a pedestrianised area and traders must be mindful of this when driving
- Vehicles may not be driven onto the High Street between 11.00 and 4.00pm except with the consent of the market manager.
- Traders will be charged for the rectification of any damage to street furniture or vegetation however caused. All traders selling foodstuffs must comply with the Food Safety (General Food Hygiene) Regulations 1995 and must be able to produce evidence of Food Hygiene certificates and other relevant documentation.
- All traders shall produce evidence of valid public liability insurance up to £2500,000
- MTP retain the right to refuse a trader a pitch on the market should they deem them unsuitable
Set-up and clear down
On the day, you will be able to drive onto the high street pedestrianised area and unload. Pitch locations will be on a first come first serve basis unless you are otherwise notified. Larger pitches will be located by the market organisers.

- Arrive from 8:00am and no later than 9:30am (Cars will not be allowed on the high street after 09:30 am)
- Set up your pitch as soon as you can after you have arrived
- Move your vehicle off of the high street and into one of the local car parks which are generally free all day on a Sunday
- Be ready to trade from 11:00am
- Start clearing down from 4:00pm
- Vehicles will be allowed back on site from 4:15 pm
- Ensure all of your waste is taken away with you
- Ensure you pitch area is left as you found it
- Leave any hired gazebos and tables as you found them
Terms and Conditions
A. General Information
- Unless previously agreed with the organisers, food stalls must be open for trading from 11.00am till 4.00pm.
- Stall holders are only permitted to sell within their allocated pitch site. Once your application has been approved, stall holders are to submit a menu of food/thorough description of food they are selling to the organisers and must not change this unless the organisers have been notified.
- Stall holders must ensure they are up to date and comply with all legal requirements relevant to their stall including all relevant food hygiene and health and safety legislation.
- Documentation. The stall holder must provide copies of their current Local Authority
- Registration, Food Hygiene Certificate, Employers Liability Insurances and Public and Product Liability Insurances. We would also like to see a copy of your Gas and Electric Safety Certificate.
- Public liability insurance is recommended to cover your stock and your stall. The Organisers and the venue bear no liability whatsoever for stallholders loss, damage or theft of items during the event. Eatonthehighstreet have Public liability insurance of £5m which covers any customer that visits the food market. This insurance may not be valid if bags, boxes and items are left on the floor!! So each stall holder will be responsible for their own property and safety.
- Smoking is prohibited inside any tent or stall.
- No barbecues are to be brought onto the site, unless approved by the organisers.
- No alcohol to be brought onto the site.
- No glass bottles, drinking glasses etc are allowed onto the site. Please advise us if any of your equipment contains glass.
- Please keep your stall area free of rubbish and particularly a buildup of combustible material. You will need to remove from the site all waste materials and packaging generated during the preparation of your product/s.
- Structures. Stall holders are responsible to ensure their structure is adequately secured, in case of severe weather for stability. Unsuitable or unsafe structures may be required to be removed at the discretion of the management.
- Organisers may undertake a brief inspection of all stalls prior to the event commencing.
- Trader Pitches must be left exactly as found. Please pick up all your waste, rubbish and spillages. If there is a spillage, be aware of safety. If a stall holder doesn’t clear away their rubbish they may be asked a small penalty of £5 or they may lose their space at the following market.
- Where possible we will try and place you in the same or recommended position each time. But your placement may be subject to change and we cannot guarantee this each time.
B. Vehicular Movement
- We will advise you of your access point 1 week before the date of your food market. The Maidenhead High Street will be the location.
- No on street parking will be allowed.
- Vehicles will be allowed onto the site up to 10.30am on the morning of the market, to allow stallholders to set their stalls up.
- Please exercise EXTREME CARE when driving onto the site to avoid the risk of injuring someone
- Only Emergency vehicles will be allowed to enter the site once it is open to the public. If you need vehicular movement on the site during the event this must be agreed with us in advance and cleared with the organisers before any movement on the day.
C. Provision of food and drink:
- Food and drink is to be stored, prepared and served in compliance with all current statutory and regulatory requirements.
- All food stalls must be registered with the Local Authority. Please provide proof of this prior to the event.
- All persons manning food stalls must have food handler training or be supervised with someone who has. A valid food hygiene certificate must be presented before the event.
- Ensure all food is kept at a temperature to prevent the growth of food poisoning bacteria. All high-risk food must be at or below 8°C or , if to be served hot, at or above 63°C
- Take away hot drinks need to be served in suitable lidded containers.
- If you cannot guarantee that your food does not contain traces of nuts or other common food allergens you must advise potential customers via clearly visible signage to this effect
- You must ensure you have adequate hand washing/cleaning facilities.
- Please note that your stall and documentation may be inspected prior to the opening of the event and it is also possible that Environmental Health officers will visit.
D. Gas appliances:
- Gas cylinders and connections must be in a safe condition and gas cylinders stored correctly.
- All gas fittings must be checked & certificated by a gas Safe approved company. Proof of this will be required if your application is successful.
E. Security:
- Keep cash tins out of sight.
- We will NOT TOLERATE any rudeness or aggressive behaviour AT ANY TIME!! Stallholders and customers alike. Anyone seen or reported to be doing this will be removed from the premises Immediately! and will lose their chance of having a stall in the future.
F. Payment:
- The payment for your stall is dependent on your stall size as above. (excluding VAT).
- Please ensure we receive payment within 5 days of your invoice and your application being successful to secure your pitch.
- Payment can be made directly into our bank account.
In the event of a cancellation we are unable to refund but can issue a credit to transfer to another market on another date
If the date/time of the market changes, stallholders will be offered an alternative fair or the fair with altered hours/date.
Eat More Kale, EatOnTheHighStreet or Windosr and Maidenhead Council shall be under no liability for delay, or failure to provide the services as a result of any act or circumstances beyond reasonable control, included but not limited to, Act of God, legislation, Injury, Terrorism, war, fire, failure of power supply, bad weather conditions, lock out or strike.
Cancellation by stallholders will incur a charge! More than 7 days notice a £10 admin fee will be charged. 5- 7 days notice 50% of the fee will be charged! 48hrs or less there will be no refunds given.
